Privacy policy

SnoCream respects your privacy and handles personal information in line with the Protection of Personal Information Act, 2013 (POPIA). This policy explains what we collect, why we collect it, and how we protect it when you enquire, place an order, or use our services.

Personal information we collect when you make an enquiry

When you contact SnoCream through the enquiry form on our contact page, or when you ask about machines, mixes, cones or service work, we may collect the information you choose to give us. This can include your name, company name, contact details, delivery address, suburb or town, and any notes you share about your requirements.

We may also collect operational details linked to your enquiry, such as the type of machine you need, your site location, preferred installation date, service history, and the products or spare parts required. In some cases we may collect information about access arrangements, operating hours, and any special site conditions that affect delivery, installation or maintenance.

  • Name and surname
  • Business or trading name
  • Contact details and delivery address
  • Machine, product or service requirements
  • Site and installation information

How we use your information in the normal course of business

We use personal information to respond to enquiries, prepare quotations, arrange deliveries, schedule installations and support ongoing service work. It also helps us confirm stock availability, plan logistics from Springfield Park in Durban, and coordinate work in areas such as Umhlanga, Johannesburg, Pretoria, Cape Town, Gqeberha and Pietermaritzburg.

We may use your information to provide machine startup commissioning, operator training, preventive maintenance, breakdown repairs, deep clean service, seal and parts replacement, mix calibration, site relocations, phone support, sanitising supplies and season prep checks. We may also use it to keep records of orders and service appointments, and to follow up on outstanding requests.

When we share information with third parties

We only share personal information where it is necessary for business operations, legal compliance, or to provide the service you asked for. This may include sharing delivery details with transport providers, job details with technicians, or account information with our internal administration team. We do not sell personal information.

Where a third party assists us, we expect them to keep information confidential and use it only for the purpose for which it was shared. If the law requires disclosure, or if we need to protect our rights, staff, customers or property, we may disclose information to the relevant authority.

  • Technical and service personnel
  • Professional advisors and auditors
  • Authorities where required by law

How we keep your information secure

We take reasonable technical and organisational measures to protect personal information against loss, unauthorised access, alteration or disclosure. Access is limited to staff who need the information to carry out their duties, and records are handled in a controlled manner.

Our service and logistics processes are based on practical handling, because we work with customers across South Africa and some details must be shared to complete deliveries and site work. Even so, we expect staff to treat customer records carefully, and to use information only for legitimate business purposes. We review access and handling practices from time to time so that protections stay appropriate.

Retention, invoices and record keeping

We keep personal information for as long as it is needed to deal with the enquiry, deliver goods or services, meet legal obligations, resolve disputes, and maintain proper business records. Where records relate to invoices, warranties, maintenance, or compliance matters, we may keep them for longer periods required by law or sound accounting practice.

When information is no longer needed, we will delete it or make it anonymous where this is practical. Some records may be retained in backup systems for a limited period before they are overwritten in the ordinary course of business.

  • Quotation and order records

Your rights under POPIA

You may ask us to confirm whether we hold personal information about you, and you may request access to that information. Where the information is incorrect, incomplete or outdated, you may ask us to correct it. You may also object to certain processing where the law allows, or ask us to stop using your information for direct marketing.

If you want to exercise your rights, please use the enquiry form on our contact page and tell us what you need. We may need to verify your identity before taking action, especially where a request relates to sensitive account or service information. We will respond within a reasonable time after receiving a proper request.

Cookies, website use and policy updates

Our site may use basic cookies and similar tools to improve performance, keep forms working and understand how visitors use the site. These tools do not usually identify you directly, but they may collect technical information such as device type, browser settings and pages visited.

We may update this privacy policy from time to time to reflect changes in our services, legal duties or internal processes. The latest version will apply from the date it is published. Please review it periodically if you use our services often or submit information to us regularly.
